Fire extinguisher inspection software

Fire extinguisher inspection software, built for a 1–5-person shop

Run your route on serialized assets, barcode scan-to-inspect, photo-and-timestamp proof, and a cadence engine that keeps every unit on schedule — on one phone, offline when the signal dies.GaugeRoute is the record and the reminder; you and the authority certify the work.

A review queue on a phone: a nameplate parsed from a photo into a draft asset — serial, manufacturer, model, manufacture date, size, and location — with Confirm asset and Discard buttons.

Serialized assets

Every extinguisher on its own record

Photograph a nameplate and the asset drafts itself — make, model, manufacture date, agent type, size, location — behind your review queue. Each serialized asset is a tracked record, not a row in a spreadsheet. Nothing is created until you confirm it.

A guided inspection on a phone mid-stop: an extinguisher serial with Pass and Log deficiency choices, a gauge-in-the-green check that requires a stamped photo, and a Confirm tag record button.

Barcode scan-to-inspect

Scan the tag, run the guided inspection

Scan the barcode or QR tag at the wall and the asset’s guided inspection opens on the spot — a pass-or-deficiency check with the gauge, pin, seal, hose, and nozzle steps. Print your own QR labels from the record so a scan always opens the right unit.

A dated tag record on a phone for one extinguisher: the service performed, the date, a pass result, who performed it with their license number, and proof-photo entries with time and location.

Proof records

A photo-and-timestamp proof against every serial

Each stop writes a dated tag record that mirrors the physical tag, with a photo and a timestamp tied to the serial. Records are append-only — a correction is a new row, never an erased one — so the history holds up when someone asks about it later.

The due and overdue aging view on a phone: totals for on-schedule, due-soon, and overdue assets broken out by building, with a note that the counts are measured against your own service schedule.

NFPA cadence scheduling

The next dates, generated for you

Each asset is keyed to its type and manufacture date, and its annual external maintenance, 6-year internal examination (stored-pressure units), and 12-year hydrostatic test (5 years for water, CO2, and wet-chemical units) are generated automatically. Your own date always wins, and a date you set is never moved.

A deficiency turned into a quote on a phone: a flagged extinguisher, a suggested replacement remedy, a quantity and a price the operator sets, a line total, and a Create quote button.

Deficiency to invoice

A flagged deficiency becomes a quote, then an invoice

A deficiency on the route suggests a remedy line — recharge, internal, hydrostatic test, repair, or replace — and you set the price. An accepted quote becomes a work order, then an invoice you send on your own rails, recorded in whole cents. The money is recorded, never processed for you.

The technician route day on a phone: a list of buildings with due-asset counts and site access notes, and a pill showing photos and inspections saved on the device to sync when signal returns.

The route day, offline

A full day of work with no signal

Basements, mechanical rooms, and back kitchens kill signal, so the whole route day runs offline: scan, inspect, capture proof, and write the record on the device, then sync when a bar comes back — with the queued count always visible so nothing is lost.

A customer login-free service register on a phone: who last inspected the site and when, with the operator license number, a note that the operator and the AHJ decide the status, and a table of serials, classes, locations, and inspection dates.

The customer’s own page

A login-free record a marshal or insurer can read

Every customer gets a login-free page that shows who last inspected the site and when, with the operator’s license number and a plain note that the operator and the authority having jurisdiction decide the status. It is the record fire marshals and insurers ask for, with your proof on file.

AI behind your review. Never in front of it.

GaugeRoute can read a nameplate and draft an asset row for you, but that draft only becomes a record through your hands. Every draft lands in your review queue, and a failed read never counts against your quota. The record is one you approved.

Cadences vary by jurisdiction — verify with your AHJ.

Frequently Asked Questions

Does the software scan barcodes or QR codes?
Yes. Scan the barcode or QR tag on an asset to open its guided inspection and its dated record. You can print your own QR label sheets from the record so a scan always opens the right serialized unit.
Does it work offline?
Yes. The whole route day runs with no network — scan, inspect, capture proof photos, and write the record on the device, then sync when signal returns. The queued count stays visible so nothing is lost between stops.
Does the software keep the NFPA schedule for me?
It keys each asset to its type and manufacture date and generates the annual, internal, and hydrostatic dates automatically. Your own date always wins, and a date you set is never moved. Requirements vary by jurisdiction — verify with your AHJ.
Does the software make my sites compliant?
No. No tool certifies your work or determines a site’s status — that rests with you, the licensed operator, and the authority having jurisdiction. The software keeps the record and the reminder; you do the certifying.
How is it priced for a small shop?
A flat monthly price with unlimited technician seats, so adding a technician never raises your software bill. It is built for an independent 1-to-5-person shop.
